Registration


The first step is to fill out the registration form. Just the minimum information needed to set up your organization.



Add Location


After logging in, you will begin on your organization's dashboard. The first thing you will want to do is to add a location. Click the "Add your first location" button, fill out the form and click the "Create" button.



An organization can have multiple locations, so simply repeat this process for each of your locations. When you have completed this step, your organization's dashboard will show your locations. Here is an example where we added a single location.




Create Programs and Membership Plans


To provide you the most freedom, each location can be configured independently. Here are some things to know about how programs, plans and memberships are related.


  • Locations can have multiple programs
  • Programs are used to define a course of study (e.g. Adult Martial Arts, Little Dragons, Fitness...)
  • A billing plan defines the length and cost of a membership
  • Each program can have multiple billing plans (e.g. 5 Lesson Intro, 1 Month Trial, 12 Month, Black Belt Team...)
  • Clients can join multiple programs (e.g. Adult Martial Arts + Fitness)


From the organization's dashboard click the location you wish to configure. This will bring you to the individual location's dashboard. At the top you are provided convenience links in the 'Reminders' alert.



Click the 'Create membership programs and plans' link. You will be provided an opportunity to create a new program.



Fill out the form and click 'Create'. Some programs allow members to progress through ranks or proficiency levels. If the program you are creating has proficiency levels, create them now.



To add plans for a program, in the locations side bar (along the left-hand side) click the 'Plans' option. At the top of the resulting page, click the 'New Plan' button.



Fill out the form to create a new plan. Here is a bit of helpful info:


  • Active - Clients can only join a program on plans that are active.
  • Introductory - Some programs offer short term introductory plans. This option helps filter clients on introductory plans.
  • Taxable - When creating a location, you provided a tax rate. This flag enables tax collection on the amount.
  • Attendance Limit - Use this field to create a plan that limits the number of classes that can be attended (e.g. 30 class pass).
  • Enrollment Limit - Use this field to limit the number of clients that can enroll. (e.g. Summer Camp with only 100 members).

Repeat this process to create additional plans.
